Walkthrough Voice

What it does

Walkthrough Voice transcribes your spoken notes from a site walkthrough — via microphone in real time or audio file upload — and converts them into a structured bid scope document, a preliminary SOW outline, and a punch-list of areas that need clarification before pricing. It's designed for pre-bid site visits where you're walking and talking, not typing.

When to use it

• Pre-bid site visits — speak your observations as you walk each area, and get a structured document at the end.
• Post-walkthrough documentation — review a recording from a visit and have it auto-structured.
• QC inspections — walk the site, narrate what you see, and get a punch list that goes directly to the site supervisor.
• Training — new account managers can record training walkthroughs and generate study documents from the narration.

Step-by-step

1. Open the tool on your mobile device or desktop.
2. Choose Record now (real-time microphone) or Upload audio (MP3, M4A, WAV — max 25 MB).
3. For real-time recording: click the microphone icon and speak. Room names, square footage estimates, observations, questions — narrate naturally as you walk.
4. Click Stop recording when done, or finish uploading your file.
5. Click Process walkthrough. Transcription and structuring take 20–60 seconds depending on audio length.
6. Review the structured output: scope summary, area-by-area breakdown, clarification punch list, and preliminary SOW outline.

Tips that change outcomes

• Name each room as you enter it. Say "entering the main lobby" or "this is the executive floor kitchen" — the tool uses these verbal anchors to structure the output by area. Unnamed observations get grouped under an "unassigned" category.
• Speak measurements aloud. "Approximately 400 square feet, about 20 feet by 20 feet" — the tool extracts these and populates the scope summary with them. Rough estimates are fine — precision comes from the blueprint, not the walkthrough.
• Flag open questions verbally. "Note: this floor has a raised access floor — need to confirm if cleaning the raised panels is in scope" — the tool routes statements like this to the clarification punch list automatically.
• The SOW output feeds directly into SOW Builder and Bid Drafter. Copy the preliminary scope to either tool to build on it rather than starting from scratch. This cuts bid prep time significantly on complex accounts.

Limits

Walkthrough Voice requires a paid account. Audio files are stored in secure temporary storage for 30 days, then automatically deleted. Transcription counts against the per-tool rate limit. See the limits page.

Troubleshooting

The microphone isn't activating.

Your browser needs microphone permission. When prompted, click "Allow." If you previously denied permission, reset it in your browser's site settings for oporasupply.com. Safari on iOS requires allowing microphone access in Settings > Safari as well.

The transcript has significant errors.

Background noise (HVAC, traffic) degrades transcription accuracy. For noisy environments, use audio file upload from a dedicated voice memo app, which typically has better noise cancellation than browser-based recording.

The output didn't create any area breakdowns — everything is "unassigned."

The tool uses verbal room names as anchors. Resubmit with the walkthrough type set correctly, and in your narration explicitly name each area as you enter it.
