Scope of Work Draft
Talk through a building walk instead of scribbling on a clipboard. You dictate or paste your notes, and it pulls out areas, square footage, and fixture counts, then drops them into a bid. The point is to stop losing details between the site visit and the estimate.
Instruction
- Tap Start recording and narrate each room: surfaces, restrooms, specialty areas, and how often you would clean them.
- Stop & transcribe, then skim the transcript. Hit Edit transcript if the mic dropped a wing or misheard fixture counts.
- Or use Paste instead and drop typed walk notes if you already wrote them in the car.
- Click Generate scope. Review the structured brief, copy or save it, then hand off into Scope of Work or Bid Drafter.
Worked example
You walk a 22,000 sqft medical office and say: 'front lobby carpet about 1,500 feet, two restrooms four fixtures each, exam wing vinyl roughly 8,000, break room, back offices.'
It returns a structured list: lobby 1,500 carpet, exam wing 8,000 vinyl, 2 restrooms / 8 fixtures, break room, offices. That list opens in Bid Drafter with floor mix and fixtures already set.
What's under the hood
- Transcription runs on your spoken audio or pasted text. It does not measure the space; the sqft it shows is your estimate, not a laser reading.
- Fixture and floor-type extraction keys off the words you use, so vague notes make vague output.
- It never invents rooms you did not mention. If you skip the mechanical closet, it will not appear.
- Nothing is saved as a bid until you hand it to Bid Drafter.
When this breaks
- Loud floor machines or a running vacuum during dictation garble the transcript.
- Guessing sqft out loud without pacing the room off gives you numbers that feel precise but are not.
- Mumbling fixture counts ('couple restrooms') forces you to re-enter them by hand anyway.
Questions operators ask
- Does it actually measure the building?
- No. It captures the numbers you speak or type. If you want accurate sqft, pace the room or pull the floor plan before you dictate.
- Can I edit what it heard?
- Yes. Every extracted area and count is editable before it moves into a bid. Fix mishears there, not later.
- What if I take notes on paper first?
- Paste them in. Typed notes parse the same way as dictation, often cleaner because there is no audio noise.
- Will it recognize floor types automatically?
- It tags floor types from your words, like 'carpet,' 'VCT,' or 'tile.' If you do not say it, it leaves the field blank for you to set.
- Does the walk get stored anywhere?
- The transcript stays in your session so you can send it to Bid Drafter. It is not published or shared.
- Can I add areas I forgot after the fact?
- Yes, add rows manually in the review step or in Bid Drafter. The tool only starts with what you gave it.
