SDS Record-Keeping: What OSHA Requires
Under 29 CFR 1910.1200(g)(8), employers must retain SDS records for chemicals no longer in use for 30 years after last use if exposure occurred. For active chemicals, the SDS must be immediately accessible to workers. "Immediately accessible" means:
- Paper binders at each job site or in each work vehicle
- Mobile app or cloud-based system with offline capability (OSHA has approved electronic access, but backup must exist for internet outages)
- Not locked in a supervisor's office
A common audit failure: SDS binders exist at the main facility but crews do not have access during off-site jobs.
Linking SDS Data to Bid Specifications
Facility managers at Class A offices, healthcare systems, and government buildings routinely request a chemical list with SDS documentation during the RFP qualification phase. Having a well-organized SDS binder — digital or physical — is a differentiator. It signals operational maturity.
