The Lead Scoring Framework: Qualifying Before You Pitch
Not every lead is worth a site walkthrough. A lead scoring system helps you prioritize the highest-value prospects and decline the low-value inquiries that consume time without generating revenue.
Lead scoring criteria:
| Criterion | Points | Notes |
|---|---|---|
| Building sq ft > 10,000 | +20 | Commercial threshold |
| Multi-building portfolio | +25 | High LTV potential |
| Existing vendor in place | +15 | Evaluating, not just shopping |
| Contact is decision-maker | +20 | PM, FM, or building owner |
| Healthcare/pharma/gov vertical | +15 | Premium pricing sector |
| Responded to multiple touchpoints | +10 | High engagement signal |
| Under 5 miles from base | +5 | Operational efficiency |
| Requesting lowest possible price | -20 | Price-driven buyer |
| No answer on contract history | -5 | Limited information |
Score interpretation:
- 60+ points: Priority: schedule walkthrough immediately
- 40–59 points: Qualified: send proposal, pursue actively
- 20–39 points: Qualifying: one more touchpoint to determine fit
- Under 20 points: Low priority: respond but don't invest significant time
Implementing lead scoring typically improves close rate by 10–20 percentage points because sales effort concentrates on highest-probability opportunities.
Inbound vs. Outbound Lead Mix
A mature cleaning company should have a balanced lead mix:
| Source | % of Pipeline | Quality | Volume |
|---|---|---|---|
| Organic search (inbound) | 25–35% | Very high | Medium |
| Referrals | 20–30% | Very high | Low-medium |
| Direct outbound (cold email, LinkedIn) | 20–30% | Medium | High |
| Paid advertising | 15–25% | Medium | High |
| Events and associations | 5–15% | High | Low |
Over-reliance on any single source creates fragility. The most resilient operators have 5+ active lead sources, so the failure or fluctuation of any single channel doesn't destabilize their pipeline.
